Billing & subscription

This guide covers the billing surface: the Billing tab under Settings, the plans page, checkout, and what happens when a payment fails. What each plan includes and what it costs is in Plans & pricing; how quotas count and what happens at a limit is in Plans, quotas & entitlements.

Where billing lives​

  • Settings → Billing: usage against plan limits, your plan and its status, invoices, payment method.
  • The plans page: the four self-serve plan cards and checkout. Every Upgrade and Change plan button lands there; there's also a Back to billing settings button in its header.
  • The Needs attention strip on Home flags payment and limit problems: Notifications & alerts.

Currency and payment providers​

Prices show in EGP by default, and your billing currency picks the provider: EGP bills through Paymob, USD through Stripe. The plans page shows which you're in with a "Prices in EGP" (or USD) badge next to its title. You never pick a provider yourself.

Subscribe to a plan​

  1. Open Settings → Billing and click Upgrade. Without a paid plan the tab shows "No active subscription" with an Upgrade button; with one, use Change plan. Both land on the plans page.
  2. Pick a plan card and click Subscribe on it. The page redirects you to the provider's hosted checkout.
  3. Pay by card. On Paymob's first checkout your card is verified (3-D Secure) and saved; that saved card is what automatic renewals charge.
  4. You return to a confirmation page while activation completes. What it can show:

Starter needs no checkout: an org without a subscription is on it. Enterprise isn't self-serve; contact support: Support & contact.

Change your plan​

Upgrade. Picking a higher tier opens a confirm dialog, Upgrade to {Plan}?. It states the approximate charge due today (the price difference times the remainder of your billing period): You'll be charged ≈ {amount} for the remainder of this period today (estimated — the exact amount is confirmed when your card is charged)… Confirm and the new limits go live as soon as the charge goes through: You're now on {Plan}. A prorated charge for the rest of this billing period was billed today… If your saved card can't be charged, you're redirected to the hosted checkout instead, and the plan applies right after that payment.

Downgrade. Picking a lower tier charges nothing now. A toast sets the date: You'll move to {Plan} on {date}. Nothing is charged now, and your current plan and limits stay until then. Both billing surfaces show an alert naming the scheduled change. Changed your mind? Pick your current plan again: Scheduled change cancelled — you're staying on {Plan}.

A downgrade to a tier with fewer seats than your member count still goes through, with a warning: {PLAN} includes {N} seats; you have {M} members. Adding members stays blocked until you're under the limit. (the plan name appears in capitals). Existing members keep access.

Cancel. The destructive button (Billing tab) or link (plans page) opens Cancel your subscription? — Your plan stays active until {date}, then doesn't renew. You can undo this until then. After confirming, a warning alert shows the end date with a Resume button beside it. Cancelling is the only way back to the free Starter plan; the hint at the button says so before you commit.

Resume. Until the period ends, resuming is free and instant on both providers: "Subscription resumed — you keep your plan and the next renewal happens as before. Nothing was charged."

Track usage​

The Usage card lists one row per quota (links, monthly clicks, custom domains, team members, templates) as used/limit with a progress bar. Unlimited quotas say "No limit on your plan." At 80% of any limit an "Approaching plan limits" alert appears; at 100% it becomes "At or over plan limits" and the exceeded rows read "Limit reached — upgrade your plan for more." Invoices​

The Invoice history table is visible to owners only; other members see "Visible to organization owners only." Each row shows the type (why the invoice exists, like "Subscription upgrade"), the date, the amount ("EGP 2450.00"), and a status badge: Paid (green), Open, Failed, or Void. When more invoices exist, "Showing N of M" appears under the table. With no invoices yet: "No invoices yet. Invoices appear here after your first payment on a paid plan."

Payment method​

The payment-method section is owner-only and appears while a paid subscription is active:

  • Stripe: "Cards are managed in the Stripe customer portal — update or replace the card Stripe charges for renewals." Click Manage payment method to open it.
  • Paymob: your saved cards are listed with network and masked number; the one badged Default is what renewals charge. "No saved card on file — automatic renewals need one."

When a payment fails​

A failed renewal puts the subscription Past Due. The Billing tab and plans page both show a warning banner, "Payment failed — your subscription needs attention", with wording that depends on your provider:

  • Stripe: Stripe retries the charge automatically over the coming days, and your plan's access stays on in the meantime. If payment still hasn't succeeded by {period end}, your organization moves to the free Starter plan.
  • Paymob: "The last charge to your saved card didn't go through. Check the card on file — renewals are charged to it automatically."

While past due you keep your plan's access. Owners can fix the card (Stripe's Update payment method button, Paymob's saved-cards list), change plan, or cancel; the plans page keeps offering plan changes instead of a fresh subscribe. If the period ends unpaid, the org lands on Starter. Home shows the same problem as a "Payment past due" alert: Notifications & alerts.
